The production board says a batch is almost complete. The outgoing team knows that several pieces are waiting for a button decision and one carton must remain on hold. The incoming team sees only the total. A polished progress summary has hidden the information that matters most.

AI can help prepare a shift handover from checked production notes, but the document should make exceptions easier to see. This article proposes a practical workflow; it does not claim that TRYBUY.IN uses an AI handover system.

Define the handover around the next action

A handover is different from a daily performance report. Its reader needs to know what can proceed, what cannot, what must be checked and who can resolve the open question. Start with an agreed format before asking an assistant to shorten anyone’s notes.

For each men’s shirt or kurta batch, include the job reference, current stage, approved garment version, quantity status and next action. Keep boys’ kurta batches separately identified. Similar colours or style names should not allow notes from one product group to drift into another.

Keep every important statement traceable

Anthropic’s Claude API citations documentation describes linking generated responses to supplied documents. A team could use a document-grounded approach to connect handover statements to their source notes. A citation helps the reader inspect evidence; it does not make an outdated note current.

These statuses should never collapse into “done”. A hypothetical kurta batch may have finished stitching while still awaiting a decision on a placket detail. That status is different from a batch released for the next stage. Use the team’s approved definitions and preserve the reason for any hold.

Protect quantities from elegant paraphrasing

Ask the assistant to copy reported quantities into separate fields with their source references. Reconcile totals using the production record and checked arithmetic. If counts do not agree, show the difference as unresolved instead of creating a balancing number.

For example, an outgoing note might mention pieces completed during the shift while a board displays cumulative completion. Both can be correct, but they describe different things. Label the reporting period and quantity basis so the incoming team does not add a cumulative number a second time.

Make the question and owner visible

“Waiting for approval” is incomplete when nobody knows whose approval is needed. Record the named owner only when the source identifies one. Otherwise mark ownership as unassigned and ask the outgoing supervisor to resolve it before the handover is accepted.

Keep proposals apart from instructions. “Could use the alternate button” is not approval to substitute a trim. “Check the seam before restarting” is not permission to restart. These small wording differences matter more than whether the summary sounds fluent.

A prompt for the outgoing supervisor

Prepare a draft handover from these checked notes. Group by job and garment version. Separate work permitted to continue, explicit holds, unresolved quantity differences and decisions awaiting an identified owner. Preserve negations, timestamps and units. Cite the source for every status. Do not release a hold, assign missing authority or invent a completion count.

The supervisor should review the draft against the actual work area. The incoming team then confirms receipt and asks about unclear entries. AI can prepare the record, but it cannot establish that the physical batch is where a note says it is.

Try it on one handover first

Run a small pilot alongside the existing process. Compare the draft with the accepted handover and note which exceptions it missed, duplicated or misunderstood. Improve the source format before adding more automation. A shorter handover is useful only if the next team can act without rediscovering the previous shift’s knowledge.
