A campaign photograph performed well last season. The team wants to reuse it for a new marketplace, a different country and a later date. The file is easy to find. The permission record is not.

This is where an AI-assisted document workflow can be helpful: not by declaring that an image is legally cleared, but by bringing the relevant agreement, dates and unresolved terms to the reviewer before the asset is used.

Keep the agreement as the authority

Google Cloud’s Document AI documentation explains that custom extractors can identify defined entities in new document types and provide confidence scores that can trigger manual review. Conceptually, a fashion team could extract fields from approved release or licence documents into a searchable record.

The extracted record is an index, not a replacement contract. Store a link to the source file, its version and the page supporting each important field. If the agreement changes, retain the earlier version and make the current one unmistakable.

Define the fields before scanning documents

A practical schema could include asset or shoot identifier, parties named in the document, permitted media, territory, start date, end date and any approval conditions. Include an explicit “not stated” value; absence is not permission.

Do not ask the model to infer broad rights from phrases such as “campaign use” unless the source agreement defines them. Route ambiguous language to the person responsible for rights review.

Names and signatures are sensitive information. Limit access to the people who need it, follow the organisation’s retention process and avoid copying personal documents into unrelated creative tools.

Link permission to the exact asset

A men’s shirt campaign and a boys’ kurta shoot also require separate records. Do not treat an adult model workflow as adequate for imagery involving a child; guardian permissions and applicable review need specialist attention.

Build a check that asks precise questions

Before an image enters a channel, the system can compare the planned use with the indexed terms:

  • Is the exact asset linked to an agreement?
  • Does the planned channel appear in the reviewed record?
  • Is the intended territory recorded?
  • Does the planned campaign period fall within the recorded dates?
  • Are required approvals complete?

The output should be cleared by reviewer, blocked, or needs review. Avoid a vague green tick when fields are missing. The system can prepare evidence, while an authorised reviewer decides whether the intended use matches the agreement.

Make expiry useful before it becomes urgent

Send reminders far enough ahead for the campaign team to replace an asset or request an authorised extension. Group reminders by campaign and owner so that dozens of filenames do not become dozens of disconnected messages.

If permission expires, changing the crop or adding text does not create a new right to use the underlying photograph. Keep derivatives linked to the original asset and its record.

Test extraction against real decisions

Review a varied set of documents and compare extracted fields with a careful human reading. Pay particular attention to negations, date formats, handwritten additions and attachments. A high confidence score does not settle an ambiguous legal meaning.
